Equipment Sign-out Policy

Employees and students of the American School Foundation of Monterrey, A.C., are granted the opportunity to sign out certain audio/visual equipment, computer peripherals and laptops. Certain equipment is restricted for student sign-out.

SIGN-OUT/BOOKINGS PROCEDURES:

All requests for audio/visual equipment, computer peripherals and laptops should be made according to the rules outlined in the procedures pertaining to the specific equipment. Detailed procedures can be found on the Bookings/Reservations page.

SIGN-OUT TERMS AND CONDITIONS:

Any person who is signing out audio/visual equipment, computer peripherals and/or laptops agrees to abide by the following terms and conditions for signing out the equipment. Failure to abide by the terms and conditions will result in a suspension of sign-out privileges.

  • Failure to return the audio/visual equipment to the appropriate location by the date and time specified will result in a suspension of privileges for a period of time to be determined by the IT Director (e.g. students who fail to return equipment on time will lose all sign-out privileges until end of the school year).
  • Extensions for sign-out equipment will only be granted by the IT Dept. if the equipment has not already been requested by another party for any part of the requested extension.
  • Equipment usually may not be borrowed for more than one (1) school day or over one night. The only exception to the one (1) school day maximum will be for reasons such as out of town conferences and will need to be approved by the IT Department.
  • No audio/visual, computer peripherals or laptops shall be altered or tampered with by anyone in any way. Any required maintenance to the audio/visual equipment, computer peripherals and/or laptops should be reported as soon as possible to the appropriate department. (Audio/visual or Information Technology)
  • Equipment such as TV's and Projectors should not to be moved around the school by students. (Any damage related to such activity will be the staff member's responsibility.)
  • The equipment will be used exclusively for ASFM school-related activities.
  • Equipment should never be left unattended or unlocked. (Long term sign-outs or school issued computers are provided with a cable lock with two keys. These locks must be returned with two keys.)
  • It is the staff member’s responsibility to be/become knowledgeable in the use of the equipment.

Liability

This policy pertains to any/all equipment that you use that is property of ASFM. Any damage or loss of audio/visual, computer peripheral or laptop is the sole responsibility of the signer provided there is negligence involved (note: dropping and spilling are negligent actions). The school will not be liable for equipment left unattended or unlocked by the staff member or student even if on the school grounds. The signer agrees to incur all costs arising from repair or replacement of lost, stolen, or damaged equipment according to the equipment replacement policy managed by the IT Director. The IT Department will not be responsible for ensuring the security of user’s data whether it be in the hard drive of a laptop or on tapes or removable media used in cameras and other devices.
