Laptop Sign-out Policy

The American School Foundation of Monterrey, A.C. has various laptop computers available for sign-out overnight (and several for longer term sign-out) for school employment-related use. The responsibility is described in the Equipment Sign-out Policy, and the procedure for check-out and check-in is described here. Failure to comply with policy may result in suspension of laptop sign-out privileges. Every person who signs out a laptop is liable to this policy.

POLICY:

  • laptops should be used for employment-related activities
  • user is responsible for loss, theft, or damage according to the Equipment Sign-out Policy
  • user must return the laptop at the pre-arranged time
  • laptop will be “cleaned” periodically of files in the generic account
  • user is responsible for keeping his/her files secure (tests, personal documents, etc.)
  • user is responsible for transferring of files onto and off of the laptop
  • technical issues will not be resolved outside of IT office hours

Staff Member Liability

Any damage or loss of audio/visual, computer peripheral or laptop is the sole responsibility of the signer provided there is negligence involved (note: theft, breakage, and spills are negligent actions). Any such damage, loss, or misplaced equipment will be charged to the signer. Furthermore, the staff member agrees to incur all costs arising from repair or replacement of lost, stolen, or damaged equipment. The IT Department will not be responsible for ensuring the security of user’s data whether it be in the hard drive of a laptop or on tapes or removable media used in cameras and other devices.

USING THE LAPTOP:

You may use any of the standard school applications on the laptops. Please check before leaving the school to make sure that the application of your choice is functioning if it is non-standard (e.g. if it is not iTunes, iMovie, Office, or Macromedia)

  • Printing - turn on your printer, connect the USB cable, select File>>Print, then choose your style (or something close) of printer from the printer drop-down menu
  • Internet - there is no access to configure the computer for a dial-up ISP, wireless or network
  • Video - if you are using the computer to make a video, please ensure that you delete the files after use as they are very large
  • Audio - please delete all audio files from iTunes after use
  • Power - you will be given the AC power adapter to take home. Please use it to charge the unit overnight so that you can return the machine charged.

PROCEDURE:

  • see the check out time policy in each location:
    • MSHS Library Laptop - You may check-out a laptop in the afternoon after 3:45 until 7:55 the next day from the Library staff
    • For IT Dept. laptops check/arrange with IT staff for transferring documents, check-out and check-in times
  • There is currently no booking system in place
  • Laptops are subject to availability
  • Procedure may be adjusted in the future
  • Check-out
    • You should ensure that the laptop is in good physical condition and that it is functioning before checking it out in your name
    • allow time to transfer your documents onto the laptop (if you are working on existing files)
  • Check-in
    • Shut down the laptop for overnight with AC adapter connected
    • Allow time to get your documents out of the machine and into your possession (in your account, on USB memory stick, etc.)
    • Return the laptop at the pre-arranged time
    • The Library staff will check for:
      • computer function,
      • physical damage, and
      • battery charge (should be 80%+ to be ready for day).
